Attendance

Chair: Magda

Minutes: Keri

Present:

Dylan and Andrew were present for part of the meeting

Absent:

Quorum: 1/2 of 19 = 10

Quorum for vote on policy: 2/3 of 19 = 14

Quora met with proxies

Old business

Acoustic piano

Angela asks permission to bring in an acoustic piano to be placed either in living room or dining area

She played stereo at approximately piano volume during times she would be practicing, did not interfere with TV room use

Marcela thinks it might be better to have it in the living room as the dining area is more crowded

Too damp in basement 609, library should be kept as quiet area

Vote: 11 for, 0 opposed, 1 abstained, PASSED

Digital cable

Norm motions to add digital cable, and Norm wants a bigger package (teehee)

As Norm was not present, it was moved by Ty and seconded by Chris to table this until the next meeting. 9 for, 0 opposed, 2 abstained, TABLED

Ty notes that we need to vote to put this back on the agenda at some time, since we voted to table it

New business

Guest policy

Guest policy to be approved as read

Vote: 11 for, 4 opposed, 0 abstained, need 2/3 majority, 10 out of 15, PASSED

Comment from Alex to be officially included in minutes, Jack and Norman are the 2 people who most frequently have guests, and have abused the policy in the past. They have only attended one of the policy discussion meetings each, and neither were at this meeting. This is not an appropriate way to deal with this problem.

Wireless

Marcela motions to get a wireless router for each house to connect laptops

Angela, will there be good reception throughout the house?

Chris, has been fine in the past, both upstairs and down, recommends a wireless access point, where computers can be connected to network as well as internet, price is comparable to router, $60 each

Alex, wireless access points need security before they are even turned on, we MUST limit access

Therefore proposal was that we get either a wireless router or access point for each house with the condition that it is fully secure. Computer committee to deal with the details.

Vote: 10 for, 3 abstained, PASSED

Spare key policy

Chris and Ty motion that we adopt the spare key policy as read

Won't necessarily be Ty and/or Chris with control over keys - the house will determine the key people

Access will require written notice in advance, or in case of emergency, a written report after

Key people will name a substitute in case of absence - if they go away, we will still have access

Will eliminate lock problems, e.g. Magda's room has no key at all

We will still be able to have spare keys of our own

Vote: 12 + 1 proxy for, 0 opposed, PASSED

Gardening budget

$500

One person administers it as per petty cash

Gardeners must meet to approve purchases

Items include soils, tools we don’t already own, approved perennials, pots

Items do not include personal plants and tools

Alex, why vote on this when we have approved a budget but there was no report

Keri, agrees this has been a problem, therefore proposes process as part of budget, gardeners will report back to house

Vote: 13 for, 0 opposed, PASSED

Cardboard recycling

Keri motions that we arrange to get a large bin for cardboard, like the garbage bin

Ty, much of our cardboard comes from veggie shop. Can we get a set of nesting plastic bins that the shopper (currently Stephen) can take instead of getting boxes every week?

Melinda, previous shoppers have sometimes reused the cardboard boxes. Can that not happen again?

Stephen, this worked at Hop On, but at Kin’s it would add a couple of trips to and from van (and time) just to get the boxes up to the shop

Alex prefers reusing instead of getting new. Thinks we should not pay to remove cardboard when Coopers are perfectly capable of it and some are not doing much for the house anyway. This is not necessary.

Ty proposes we table this and look at other ideas or solutions. Seconded by Marcela. 9 for, 2 opposed, 1 abstained, TABLED

After the meeting Marcela volunteered to take over the removal of cardboard for now. Thank you Marcela!

Magic room

Heidi motions that the magic room remain personal storage space for two rather than be converted into Coop tool storage

Ty, it was discussed at a meeting before Gary moved in, we need to search the minutes

Stephen looked in minutes as far back as Gary, it's not in those ones

Ty, it happened in Brian's time

Keri will talk to Brian

Stephen, personal storage at a premium here

Ty, not really, we just have to organize differently. Office and craft rooms are currently being used as storage, why don’t we recognize that officially. Also, we do need an inside space, e.g. paint gets ruined if it freezes, power tools get too wet outside.

Stephen, table until we find minutes and until Heidi is here. Second by Ty. 12 for, Tabled

Wednesday cooking team

Pete is leaving, Magda, Dylan, and Liz are seldom home early for cooking or heating

Stephen asks team to ask specific people to be responsible for heating dinner, rather than asking "someone" to put dinner in oven

Ty volunteers to be a specific person for now as he is going on nights - check with him every time

Dylan agrees to ask around and specify who will do the heating

Minutes

Marcela and Jack have begun the task of indexing the main decisions the house has made, by looking through minutes (yay, Marcela and Jack!!!)

If you have any old minutes, please give to Marcela

Thanks Magda for spectacular facilitation!
